Documents needed for a business loan
The document requirements depend on the bank, amount, product and company’s financial position. Preparing the basic package in advance can improve the likelihood of approval and help the bank assess the application sooner.
Banks assess document quality as well as the business itself. Even with turnover and a real funding need, an incomplete or poorly prepared package may delay assessment or lead to rejection.
The documents should answer three questions: who the borrower is, why the money is needed and how the business will repay it.

Documents supporting the financing purpose
Working capital
Prepare an explanation of why the business needs funds: stock purchases, replenishing a warehouse, supplier payments, taxes or a cash flow gap.
Contract fulfilment
Provide contract information: procurement reference, amount, deadlines, customer, fulfilment stages, cost estimate and a plan for using the funds.
Machinery or equipment purchases
The bank or leasing company may request an invoice, commercial quotation, specification, supplier details and information about the asset being acquired.
Business expansion
Show the project’s economics: how financing will affect revenue, margins, turnover growth or fulfilment of new orders.
Common reasons for assessment delays
An application may stall when the bank requests further explanations and the client cannot quickly provide documents or information.
Common causes include incomplete account statements, inconsistencies in financial statements, an unclear loan purpose, missing contract documents, undisclosed debt commitments or an inability to explain turnover.
The better the documents are prepared before submission, the sooner the bank can make a decision.
How to prepare documents correctly
Check that information is up to date
Company details, management and member information, financial statements and contact details should be current and consistent.
Prepare explanations in advance
Prepare clear explanations for losses, cash flow gaps, seasonality, sharp turnover changes or existing loans.
Show the purpose and repayment source
The bank needs to understand why financing is required and how the company plans to repay it. This is a key factor in assessing an application.
